SUFFOLK COASTAL RETREATS GUEST TERMS & CONDITIONS
THE CONTRACT
The rental agreement will be between the Suffolk Coastal Retreats Owners (referred to as “us” or “we”) and the person making the booking and all members of the booking party (referred to as “you” or “your”) in the following booking conditions. UK law will govern the Contract. The contract of hire is not effective until we have processed the deposit.
BOOKING
The Guest who makes the booking is deemed to have agreed to these Terms and Conditions and will be responsible for all persons included in the party and should ensure that they are all aware of these Terms and Conditions. The party leader must be at least 21 years of age at the time of booking.
PAYMENT
Bookings are confirmed on receipt of the non-refundable deposit of 25% of the holiday cost. The deposit must be paid within 7 days of the booking being placed. The balance of the rental will be due for payment six weeks prior to the booking commencement date and we reserve the right to cancel a booking where payment has not been received six weeks before the commencement date. If the booking is made within six weeks of the booking start date the full rental will be required. Payment is by bank transfer only, we will provide the bank details to you over the phone. Where a guest fails to pay their balance by the due date the booking may be cancelled and the deposit retained.
CANCELLATION
Cancellation by the Guest: Once the booking is confirmed the Guest has entered into a legally binding contract. If the Guest cancels for whatever reason (including medical and weather related) then no refund will be made for any monies paid unless we are able to re-let the property to someone else in which case we will refund your monies less our administration fee (£50). If we have to reduce the cost of the booking in order to re-let the property, the refund will be based on the new booking amount. The effective date of cancellation is when written notification is received. We strongly advise you to take out appropriate cancellation insurance so that you are covered for any associated losses.
ARRIVAL & DEPARTURE
The properties (unless stated otherwise) are available for occupation at 16.00 on the first day of your booking and must be vacated by 09.00 on the last day. Failure to apply with this could result in additional charges.
CIRCUMSTANCES ON SITE BEYOND THE CONTROL OF THE OWNER (FORCE MAJEURE)
If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, exceptional weather conditions, epidemics, destruction/damage to the property (“force majeure“) you will be refunded the full amount of the booking. If we have to terminate your booking early for the above reasons you will be refunded part of the booking fee based on the time remaining of the booking. No additional compensation, expenses or costs will be payable.
NUMBER OF PERSONS USING THE PROPERTY
The maximum number of people stated in each property must not be exceeded. We reserve the right to terminate your booking forthwith, without compensation, or apply additional charges if the maximum number of Guests is exceeded.
LIABILITY
Suffolk Coastal Retreats, its employees and representatives shall not be liable to you or your party for loss or damage to property, cars or contents whether inside or outside whatsoever arising. You must take all necessary steps to safeguard yourselves and your property.
CARE OF THE PROPERTY
You are responsible for the property and are expected to take all reasonable care of its furniture, pictures, fittings and effects, in or on the property. You must leave them in the same state of repair, and in the same clean and tidy condition at the end of the rental period as at the beginning. You must not use the properties for any dangerous, offensive, noxious, noisy, immoral activities or carry on there any act that may be a nuisance or annoyance to the owner or other neighbouring properties. Smoking is not allowed in any of the properties.
- DAMAGES & BREAKAGES: In certain circumstances, a damage deposit of £250.00 per property is payable on request. Guests agree to inform Owners of any damage or loss however caused during occupation. Guests should not remove any item from the property. The Owner may ask for reasonable replacement costs.
- WIFI: Wi-Fi is provided for the guest’s reasonable use. It is rural broadband and has limitations. The guest agrees to reasonable and lawful usage of this service.
- ACCESS: Guests must allow entry to the property at all reasonable times for purposes of inspection or to carry out any necessary checks, repairs or maintenance.
- COMPLAINTS: Every effort has been made to ensure that you have an enjoyable stay. However, no complaints can be accepted unless notified immediately and during the rental period as Owners should be given an opportunity to make good the reason for the complaint. We value your custom and want you to return.
WILDLIFE
Please expect to meet some wildlife during your stay at our properties, especially The Barns at Butley as it is located next to a working farm surrounded by fields. The wildlife may include, spiders, squirrels, birds, bats, flies, wasps and bees or any other creature which may make their way into the properties unbeknownst to the Owners. If this is likely to be a problem, then we advise not to book. In the unlikely event any of these creatures becomes a menace, please contact the Housekeeper in a calm and reasonable way. Otherwise, please let the creature out of a window or door.
Use of our website and services are bound in accordance with these Guest terms & conditions and our privacy policy which outlines how we use and protect your data in delivery of these services.
